This Privacy Policy sets out the standards you can expect when we ask for, or record, your personal information and explains how we use it.

We are committed to ensuring that your privacy is protected.  Should we ask you to provide certain information by which you can be identified, then you can be assured that it will only be used in accordance with this privacy statement.

This policy may change from time to time and the latest version will be available in Reception and also on our website.  You should check this from time to time to ensure that you are happy with any changes.

We are committed to ensuring that your information is secure.  In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect.

When we handle and store our client’s personal information we follow the law, including the General Data Protection Regulation (GDPR).

We may collect the following information from you:

  • Name
  • Address (including e-mail address)
  • Contact Number
  • Car registration number

When we ask you for personal information we promise to:

  • Explain why we need it
  • Only ask for what we need
  • Treat it as confidential

When we record and use your personal information we promise to:

  • Only access it when we have a valid reason to do so
  • Only share what is necessary and relevant
  • Protect it and make sure nobody has access to it who shouldn’t
  • Not sell it to commercial organisations

When we share your personal information with other organisations we promise to:

  • Ensure that this is only done with your consent, or if we are required to do so by law
  • Follow the ICO Data Sharing Code of Practice to ensure the other organisation treats your information with the same level of care that we do

All staff who handle personal information are given training and we take it very seriously if someone fails to use or protect it properly.

 

Giving your Consent

We must ask for your consent to record, use or share personal information.

When you sign our Job Sheet, agreeing to our Terms and Conditions, you are giving consent on how we may contact you for:

  • Record and use your personal information to help you with your vehicle
    • Authorisation of work to commence
    • Remind you when your next appointment is due
    • Courtesy call after work is completed to ensure all remains satisfactory
    • Inform you about any special offers, events, updates on RAS and recalls

 

How you give your consent

Staff will ask you to check your personal details on the Job Sheet on the day of the booking to ensure that if any updates are necessary, we can do this for you.

A copy of the Terms and Conditions are available in Reception and printed on the reverse of your invoice.  The Privacy and Electronic Communications section outlines the reasons we may contact you.

 

How to withdraw your consent

You are able to update your preferences at any time.

 

How we use your information

First and foremost, your information will be used to help you with your vehicle.  We will be able to contact you to authorise any work to commence, remind you when your next appointment is due and send you details of any special offers, events, or updates on Redbourn Auto Solutions.

Where you have given us permission, we will get in touch to ask for feedback on the service you received and your overall experience of the dealership.

 

The kind of information we record and use

It is up to you to decide what you share with us.  Some information is personal, it could be used to identify you.  This includes your name, address or phone number.

Other information is related to your vehicle only, from which it is difficult to identify the owner.

 

How we will store your information

We’ll store a record of your visit (Job Card, Signed terms and Invoice) physically for 6 years and on the system (GDS) for the same time.  This is only accessed by staff.

The details of your car will be stored for the lifetime of the car as proof of service history.

 

How we might share your personal information

We won’t share your personal information without your permission, unless we’re required to do so by law.

 

Website data and email security

We do everything we can to protect your personal information when we have it but cannot guarantee its security when it leaves our secure system.

Our website uses cookies to help us tailor content to fit our customers’ needs enabling users to navigate around our website.  The cookies we use, do not identify you personally.  They cannot be used by third parties or used for marketing and cannot be used to look into personal data store on your computer.

If you have contacted us via social media, we do not retain that information.  When you book your car in with us, it gets transferred onto our internal system and remains secure there.

 

Controlling your data

We are responsible for your data and must make sure that your data is processed in accordance with the law.  For example, we are responsible for making sure that the information held about you is accurate and is stored securely.  If you believe that any information we are holding on you is incorrect or incomplete, please write to or email us as soon possible.  We will promptly correct any information found to be incorrect
